Create one payment evidence record
Link the invoice or invoices to the payment approval, bank order and eventual account entry. Store the original UETR, bank reference and business remittance reference in separate labelled fields. Keep source documents in an access-controlled system rather than embedding private account details in a shared spreadsheet.
An invoice number explains the commercial purpose. A UETR helps identify a payment. A statement entry demonstrates a booking at that account. None should silently replace the others.
Match by more than amount alone
Compare counterparty, currency, references and date range. Two invoices can have the same total; one payment may cover several invoices; one invoice may be paid in instalments. Keep those many-to-one and one-to-many relationships explicit.
Where the bank supplies EndToEndId or remittance information, preserve the original text. Use the glossary to distinguish it from an interbank or message identifier. Do not force an exact invoice match merely because a reference looks familiar.
Explain differences before closing the item
- Fees: record whether they were separate entries or deducted from the payment.
- Currency: keep the instructed and credited amounts, rate and conversion evidence.
- Timing: distinguish the instruction, booking and value dates.
- Partial payments: leave the unresolved commercial balance visible.
- Returns: connect the return entry to the original payment without erasing either.
Apply your organisation’s accounting policies and obtain professional advice where needed. A tracking label is not a journal-entry instruction.
A worked exception
An invoice is for 5,000 units. The order is also for 5,000, but the bank statement shows a credit of 4,980. Keep the invoice, order and credit unchanged in the evidence record. Record the 20 difference as unresolved until the bank explanation and commercial agreement support its treatment.
If the bank confirms a 20 deduction, that explains the arithmetic; it does not decide whether the customer still owes 20 under the contract. The intermediary-fee guide helps obtain that breakdown.
Give exceptions an owner and next action
Maintain a short exception list: payment reference, discrepancy, responsible person, bank case number and next review date. For a missing credit, request a bank trace. For a return, verify the return and recredit rather than closing the invoice on a status report.
UETR.io can provide a registered timeline for context. Reconciliation should rely on the appropriate bank entries and business evidence, with sensitive documents shared only with people who need them.
